The Path to Lower TCO for Government Agencies

    Do more with less. It’s a constant refrain in government where agencies are tasked to improve constituent services in the face of shrinking budgets. Worse yet, many government agencies stick with legacy systems well beyond the average product lifecycle as a means to contain costs. In actuality, they often increase the Total Cost of Ownership (TCO) while depriving constituents of the services they deserve.

    In fact, by focusing on TCO as opposed to initial “sticker” price, many government agencies can deploy more current solutions for better services, all within budget. In other words, accomplish more for less.

    The Jury Is In

    For instance, the Superior Court of California, County of Monterey. Strapped with a legacy PBX system, the court realized that support was very costly. It sought a current solution that would reduce overall maintenance and provide more user benefits.

    “The actual maintenance costs, without adding in employee and staff time, totaled more than $200,000 per year with the previous system,” said Christine Ace, technology analyst for the Superior Court of California, County of Monterey.

    After a rigorous evaluation of systems, the court selected ShoreTel and implemented 15 voice switches and 50 ShoreTel IP telephones. The solution even allows the court to use existing analog phones to further leverage their legacy investment with the ability to upgrade at their pace.

    The court was quick to see results with a lower TCO. The easy of use and self-service features of the ShoreTel system greatly reduced overall support costs. “With the savings in maintenance and the productivity benefits for our operators and employees, this system paid for itself in just a year,” said Ace.

    How Low Can You Go?

    Advance Resource Technologies, Inc. (ARTI), a leading government consulting and services firm, lowered TCO by upgrading its outdated phone system. In fact, the 10-year-old legacy system hampered productivity and was more costly to support.

    ARTI deployed a ShoreTel phone system, including voice switches, software and IP phones at the company’s headquarters in Alexandria, Virginia. The company was pleasantly surprised by the ease-of-use of the system, which ARTI’s network engineer Matt Brady attributed to its accelerated Return on Investment (ROI).

    “I haven’t calculated it exactly, but ROI is no more than one or two years in management savings alone,” said Brady. “ShoreTel has won us over and we plan on capitalizing on every upcoming feature they have scheduled. The system’s incredible features, along with the expertise I get from ShoreTel, have convinced us that we absolutely made the right choice. We look forward to working and growing together for a very long time.”
