Mitel developed MiCollab with safeguards designed to help protect personal data. These entrenched safeguards are based on a framework of industry security measures and privacy practices.

Operation of your on-site MiCollab requires certain personal data belonging to your staff, such as phone number and email address, for the delivery of communications and collaboration services. While Mitel does not have access to such data, Mitel recommends you ensure that your employees are aware of what information is captured by MiCollab and for what purpose prior to use.

You can leverage the following MiCollab design elements when ensuring your environment meets the GDPR requirements:

Communications between MiCollab clients and the application server are performed over encrypted communications channels.
Mitel Audio, Web and Video conferences can be password-protected and access to recordings password-secured to user and admin account access only.
All Chat history is encrypted.
Personal data required by the system to perform certain functions (name, phone number, email address, and voice mail) can be deleted when no longer required to provide service.

Controlling access to personal data is a vital step in keeping data secure. MiCollab employs the following elements to manage and control access to data via several ways:

Access to the system information by administrators can be limited to allowing only authorized access using username/password combinations.
User access control may be integrated with Directory Services allowing consistency in password policy with other office applications.
Logs are maintained for diagnostic activities.
