Define group mailbox

A group mailbox is a non-personal mailbox that notifies several users when a new voice message is received. The group mailbox can be played back and managed by several users (play back voice messages, record, check, delete, activate and deactivate greetings). The Wizard window contains all of the settings needed to define a group mailbox.

When a group mailbox is defined a virtual user (user with no assigned terminal) is automatically defined and linked to the group mailbox. Call forwarding to the voice mail system is pre-configured for the virtual user and the group members (these are members of a suer group) will be notified when a new voice message is received. Optionally, you can upload a greeting which will then be loaded and activated in the system as greeting 1.

Parameter

Name

Name of the virtual user to whom the group mailbox is assigned.

Call number

Call number of the virtual user to whom the group mailbox is assigned. The call number is used by the group members to play back voice messages and manage the group mailbox.

PIN

PIN for the virtual user to whom the group mailbox is assigned. Users can check and manage the group mailbox with the PIN.

Note:

The PIN may not be the standard value “0000“.

User or user group to be notified

Select a user or user group from the list.

User: Only this user will be notified of new voice messages. However, other users can also check and manage the group mailbox with the correct PIN .

User group: All members of the user group will be notified of new voice messages.

Upload greeting 1

You can upload a greeting for the group mailbox directly here (optional). The file must be named “greeting1.wav”.

Define group mailbox

  1. Click the New group mailbox button.

  2. Give the group mailbox a name and call number.

  3. Define a PIN and confirm your entry. The PIN must be between 4 and 10 digits and may not be the standard value “0000“.

  4. Select a user or user group from the list who will be notified of new voice messages.

  5. Upload the greeting 1 with the name “greeting1.wav“ (optional).

  6. Click the Apply button.

The group mailbox has now been configured. If you have uploaded a greeting this has already been activated.

All users can now access the group mailbox with #36 <all number of the group mailbox> <PIN> <Function code>. You can see the possible function codes by clicking, in the configuration of the just created group mailbox, on the link Functions codes for this group mailbox. More information on the function codes can be found in "Function code for managing personal greetings").

We recommend defining corresponding function keys for the desired functions on the terminals for more comfortable operation.
