Public phone book

The abbreviated dialling contacts in the public phone book are available to all system users as abbreviated dialling numbers or as dialling by name.

Abbreviated dialling number

The call number of the public contact. It is defined in the internal numbering plan.

Stored call number

You can enter the following numbers:

  • Internal call numbers

  • External call numbers: Entry with exchange access prefix. Add a hyphen between the exchange access prefix and the call number so that the abbreviated dialling number can also be used on key telephones (example: 0-0775115617).
  • Codes for system functions.
  • The front portion of a call number (example: A provider’s access code for pre-selection dialling).

Name

Name and first name of the contact.

Exchange-to-exchange connection

Exchange-to-exchange connections are generally allowed for this abbreviated-dialling number, without limitation. The setting has priority over the system-wide and user-specific setting for limiting exchange-to-exchange connection.

The stored abbreviated-dialling number must not be complete so that numbers can be suffix-dialled manually. This allows, for instance, exchange-to-exchange connection with a single abbreviated-dialling number to be released for an entire branch office.

Creating and editing a public contact

  • To create a new contact, click the New button and follow the input prompts.

  • To edit a contact’s properties, click on the corresponding abbreviated dialling number.

Searching for and displaying specific contacts

To search for and display specific contacts, enter as filter criterion a string of characters contained in one or more columns then click the Filter button.

All contacts are displayed for which the character string entered is contained in at least one column (see also "Filters in lists").

Deleting one or more public contacts

  1. Click the Delete button.

    Check boxes are displayed in the left-hand side of the table.

  2. Check the boxes of the contacts you want to delete, and click the Delete button once again.

Tip:

To select or deselect all the contacts, click the check box in the table title.

Exporting public contacts

You can export public contacts.

  1. Click the Export button.

    The public contacts are written in a file in csv-format. You will be prompted to open or save this file depending on your browser settings.

  2. Save the file and then open it with a spreadsheet program, e.g. MS Excel.

  3. The csv format is an ASCII interchange format. During or after the opening the text with a spreadsheet program it must be converted to columns. To delimit the columns use the tabs of the csv file.
