Create auto attendant profile ID

In this wizard you can create a user, voice mailbox, and an announcement for auto attendant; you can also trigger automatic configuration steps. Moreover, you have various options for preconfiguring actions in the operator profile. These steps can also be carried out manually later.

Three variants for opening an operator profile are described below. The first variant opens the operator profile only and all other steps follow manually. In the second variant, several configurations are carried out automatically. The third variant has been especially provided for setting up a queue with announcement (Number in Queue).

Variant 1: Opening and manually assigning an operator profile

  1. Give the profile a name.

  2. Deactivate the Create and assign user with voice mail box checkbox.

  3. Click the Apply button.

  4. Click on the newly created operator profile and set the desired actions. A list and description of the actions can be found here "Auto attendant - actions".

  5. In the Voice mail / Mailbox view, assign the profile to the mailboxes you want.

Variant 2: Create and assign operator profile, user with DDI / external call number as well as voice mailbox

  1. Give the profile a name.

  2. Check whether the check box Create and assign user with voice box is activated .

  3. Enter a call number for the user.

  4. Upload a wave file for greeting 1. The file must be named “greeting1.wav”.

  5. Enable the Create and assign DDI / external call number checkbox, choose a trunk group and enter a DDI number or external call number.

  6. Click the Apply button.

The following configurations are then carried out automatically:

  • A user of the same name with the selected call number will be defined and call forwarding to the voice mail system is predefined for them.

  • A mailbox with the same name is created and assigned to the user.

  • Greeting 1 for the mailbox is assigned to the newly created operator profile.

  • The number of personal greetings is set to 1 and Greeting 1 is activated.

  • The created DDI number or external call number is linked to the created user.

You should now assign one or more terminals to the user. Click on the newly created operator profile and set the desired actions. A list and description of the actions can be found here "Auto attendant - actions".

Variant 3: Define and assign the auto attendant profile, virtual user with voice mailbox as well as announcement with sequence for queue with announcement

  1. Give the profile a name.

  2. Activate the Create and assign user with voice mail box checkbox.

  3. Enter a call number for the virtual user.

  4. Check whether the Create and assign DDI / external call number checkbox is deactivatedcheckbox-unchecked01156.png.

  5. Upload a wave file for greeting 1. The file must be named “greeting1.wav”.

  6. Activate the Create and assign queue announcement checkbox.

  7. Click the Apply button.

The following configurations are then carried out automatically:

  • A virtual user with the same name (user without assigned terminal) and the selected call number is created.

  • A mailbox with the same name is created and assigned to the virtual user .

  • Greeting 1 for the mailbox is assigned to the newly created operator profile.

  • The number of personal greetings is set to 1 and Greeting 1 is activated.

  • On the attendant profile you have just created, the action Auto attendant announcement is pre­configured among the monitoring actions at the parameter End of greeting and under Announcement ID is entered the number of the newly created announcement.

  • On the newly created announcement a sequence with the action Position in queue information is predefined.

Now define a new queue in the call routing for the desired call distribution element and assign this the mailbox you have just defined with the automatic operator. External calls to this call distribution element will now be queued if the call destination is engaged, whereby the caller will always be shown their position in the queue. Supplement this announcement if necessary with further sequences (e.g. with music from an audio source). For more details, please refer to "Auto attendant announcement".

Options

With the parameters under Options, you can allow automatic pre-configuration of the operator profile to be defined for specific purposes. If you do not want that, you can also carry out the configurations manually later.

Create and assign queue announcement

This option has been specially provided for the feature Queue with announcement (Number in Queue). For more information, see the above description (Variant 3).

This option can be combined with the option Suffix dialling with DTMF digits.

Suffix dialling with DTMF digits

Ticking this checkbox displays a selection with the following two options fields:

  • Suffix dialling direct (internal and PISN users):

    This option gives access to all internal users and PISN users via the auto attendant profile. An input is made in the profile for all digits for which there are open internal call numbers or PISN call numbers that start with this digit. Example: For the internal call numbers 301-350 the action Deflect to call number is entered for DTMF and 3N as destination.

  • Suffix dialling after following digit:

    With this option, any internal or external call number can be chosen after choosing the corresponding DTMF digit. In the auto attendant profile, the action Deflect to call number must be entered for End of greeting, and N as destination of placeholders .

End of greeting loop

With this option, the same greeting is replayed (endless loop) at the end of the greeting and after a configurable delay time. In the auto attendant profile, the action Deflect to mailbox (with greeting), is entered for End of greeting, and G and the digit 1 as destination for the call number selected above, followed by the placeholder.

This option can be combined with the option Suffix dialling with DTMF digits.

Transfer to operator after end of greeting

With this option, the call is transferred at the end of the greeting and after a configurable delay time to the operator phone defined for the entire system. In the auto attendant profile, the action Deflect to call number must be entered for End of greeting, and as destination the operator phone call number defined in the numbering plan.
