Free seating phones

Free seating is intended for workstations that are used by several staff members. With free seating each member of staff is able to log in to a non-personalised phone with his call number and PIN and personalise that phone for a specific amount of time. During that time the user uses the phone with or without personal settings.

Phones that are set up for free seating belong to a free seating pool. Here you can set up free seating pools and assign phones to them.

You can add AD2 system phones, IP system phones, Mitel SIP phones, as well as DECT phones, to a free seating pool.

Free seating pool

You assign phones for free seating use to a free seating pool rather than a user. You can set up several free seating pools and assign several phones to each free seating phone. However each phone can only belong to one free seating pool.

When a user logs in to a free seating phone, the phone is taken out of the free seating pool and assigned to that user. When the user logs out again, the phone goes back to the free seating pool. In other words the user temporarily borrows the phone from the free seating pool. During that time the phone adopts all the user’s properties.

The free seating pool itself has properties similar to those of a user. These properties remain effective for as long as no user logs in to the free seating phone.

Personal settings of the logged user

You can specify whether in addition to the user properties (call number and name, call lists, phone book, permission set, caller identification, call forwarding, and others) the terminal settings (user language, key assignments, audio properties) of the logged user are effective (default) or whether the terminal settings of the free seating pool are to be used (Use personal terminal profile setting).

If a user logs in with the default setting and he is already assigned a phone of the same type, the settings are adopted by the free seating phone. If not, the defaults for that phone type are adopted.

The user can adapt the terminal settings to his requirements in the usual way, directly on the phone. He may for example reconfigure certain keys or change the ring melody. These settings are saved and will be available to him again the next time he logs in.

Name of the free seating pool

Call number

Call number of the free seating pool. This number is used first and fore­most as caller identification if a call is made on a free seating phone where no user is logged in. In the default setting this can only be used for emergency calls.

Permission set

The selected permission set is applied if no user has logged in to a free seating pool. The default value is permission set 2. In this permission set, only emergency calls are enabled as standard.

Logout

Manually only: The user has to log out of the free seating phone

Log out after: The user is automatically logged off once the set time has expired. The time begins to run down as soon as the user has logged in.

Log out at: The user is logged out every day at the set time.

Time

If you selected the setting Log out after enter the duration in hours and minutes here.

If you selected the setting Log out at enter the time (hh:mm) here.

Use personal terminal profile

The terminal settings (user language, key assignment, audio settings) of the logged user are adopted.

The terminal settings of the free seating pools remain effective even after the user has logged in.

Request PIN by logout

To log out, the free seating user must enter his PIN (default).

Set up a free seating pool

To set up a new free seating pool proceed as follows:

  1. Click the New button in the top button bar.

    A dialog box for entering the phone number appears.

  2. Enter the name and the setting values as shown in the table above and click the Apply button.

    The free seating pool is created.

Note:

If the dialog box for entering the call number does not appear, your browser may be blocking popup windows. If so, adjust your browser settings to allow WebAdmin pop­ups.

Add a new phone to a free seating pool

To add a new phone to the free seating pool you have just created, proceed as follows:

  1. Click the New button in the bottom button bar.

  2. In Terminal type choose the phone you wish to add.

    You can add AD2 system phones (DSI-AD2), IP system phones (IP), Mitel SIP phones (Mitel SIP), as well as DECT phones (DECT), to a free seating pool.

  3. Under Free Seating Pool select the free seating pool to which the phone is to be assigned.

  4. Click OK.

    The edit view with the phone settings is displayed.

  5. Under Assigned port select the port to which the phone is to be connected (digital system terminals only).

  6. Click the Apply button.

    The phone has now been assigned to the free seating pool.

Note:

The phone configuration you enter here is effective as long as no user has logged in to this free seating phone or Use personal terminal profile is not activated.

Add a phone that has already been created to a free seating pool

To add a phone that has already been created to the free seating pool you have just created, proceed as follows:

  1. Switch from the Free seating terminals view to the Standard terminals view.

  2. Select the phone you want by clicking the phone’s interface designation.

    You can add system phones (AD2), IP system phones (IP), Mitel SIP phones (Mitel SIP), as well as DECT and SIP DECT phones (DECT and Mitel SIP) to a free seating pool.

  3. Under Assigned user/pool select the free seating pool to which the phone is to be assigned.

  4. Click Apply.

    The edit view with the phone settings is displayed.

  5. Click the Back button.

    The phone has now been assigned to the free seating pool.
